Public Sector Housing: Bringing Control to IT Asset Management

One of Canada’s largest social housing providers needed a better way to manage hardware assets across a complex, distributed environment supporting over 100,000 tenants.

With Compugen, they implemented ServiceNow Hardware Asset Management and established a centralized system of record for roughly 4,000 assets. The result is clearer visibility, stronger control, and better-informed decisions around lifecycle, budgeting, and audits.

The Challenge

Managing hardware assets across a large, distributed footprint had gradually become harder to keep under control.

Tracking relied on a mix of spreadsheets, manual processes, and limited tooling within an existing ITSM environment. It worked in parts, but not consistently. As the environment grew, so did the gaps. Data didn’t always line up. Visibility was uneven. Confidence in what was actually in place started to slip.

Basic questions took effort to answer. Where devices were, who they were assigned to, and what state they were in often required digging. Reporting wasn’t consistent, and planning cycles leaned on information that wasn’t always current.

That meant introducing structured workflows for inventory and stockroom management, role-based governance, return and repair processes, and formal disposal practices. Reporting was built in from the start, with dashboards that show asset location, status, age, and utilization in real time.

Just as important, the solution fit into how the organization already worked. It didn’t force a reset. It extended what was already in place, which made adoption smoother and more sustainable.

The Outcome

The organization now has a clear and reliable view of its hardware assets.

Devices can be tracked in real time. Where they are, who is using them, and where they sit in their lifecycle is no longer a question. It’s visible.

For the IT team, the shift is practical. Less time spent chasing information or reconciling spreadsheets. More time working from accurate, current data inside a system that supports how they operate.

That visibility carries through to decision-making. Refresh cycles can be planned with more confidence. Purchasing is better aligned to actual need. Audit readiness is no longer a scramble, but a process supported by a clear system of record.

The organization has gained the control needed to plan proactively, govern assets more effectively, and make decisions with greater confidence.

With the foundation in place, the focus shifts to getting even more value from it.

There is room to expand capabilities, refine reporting, and continue strengthening governance as the environment evolves. What’s been implemented is not a one-time improvement, but a platform the organization can build on.
